PowerSchool

  • Reminders of upcoming tasks
    PowerSchool Monthly tasks for PS Admins - This folder includes a monthly list from Jason Jones for PS Admins for various tasks. The list should be shareable for anyone with the link to make comments as needed.

Early Graduate / Summer Graduate Button in PowerSchool

As a reminder the Early Graduate and Summer Graduate processes are available to schools thru the Group Functions page within PowerSchool.

Early Graduate Process
Start Page > Special Functions > Group Functions > Early Graduate Process
This process promotes early graduates to the graduated school using the Exit Date defined on the page.  The process steps (which are also listed on the PowerSchool page) are:   
  1. Archives the current school enrollment records.
  2. Sets each student's Exit date to the exit date identified above
  3. Sets ExitCode to EG.
  4. Sets ExitComment to "Early Graduates".
  5. Sets the Next Grade to 99.
  6. Sets the Next School to 999999 (Graduating Students School).
  7. Sets the Schedule This student (Sched_scheduled) to Blank.
  8. Populates the Graduated_SchoolID to home school ID.
  9. Populates the Grad_SchoolName to the home school Name.
  10. Graduates Students from district.
  11. Sets the Enroll_Status to "3" (Graduated).
Summer Graduate Process
Start Page > Special Functions > Group Functions > Summer Graduate Process
This process promotes summer graduates to the graduated school using the Exit Date defined on the page. The process steps (which are also listed on the PowerSchool page) are:    
  1. Archives the current school enrollment records.
  2. Sets each student's Exit date to the exit date identified above
  3. Sets ExitCode to W21.
  4. Sets ExitComment to "Summer Graduate".
  5. Sets the Next Grade to 99.
  6. Sets the Next School to 999999 (Graduating Students School).
  7. Sets the Schedule This student (Sched_scheduled) to Blank.
  8. Populates the Graduated_SchoolID to home school ID.
  9. Populates the Grad_SchoolName to the home school Name.
  10. Graduates Students from district.
  11. Sets in Enroll_Status to "3" (Graduated).

Ed-Fi

  • Reminders
    • PowerSchool Data-Publishing Dashboard:
      Each recent PowerSchool State Reporting update includes additional Ed-Fi resources for the SC profile. Be sure to execute a “Run All” on the data-publishing dashboard after installing the updates, as there are sure to be dependencies and errors in the data pushes and it’s important we uncover these issues. Email edfi@ed.sc.gov if you’d like to schedule a screen sharing session to explore data publishing.

    • Next Steps:
      On a broader note, we’re expecting more of the resources required for state reporting released by the end of November and anticipate continuing to refinine the API mapping and business logic as we move into the winter months. This spring we’re expecting to connect all districts to a SY 2022 ODS with the refined and validated PowerSchool API. 
    • Available Training:
      We recently concluded the initial series of statewide training around what Ed-Fi is and means for SC. Next we’ll shift into exploring practical applications of the technology. It’s important to understand the value of these applications will improve as the SIS API is refined and additional resources and source applications are integrated with the ODS. We look forward to continuing the discussion around the future of Ed-Fi in SC as the school year progresses. 

Updates from Level Data

  • Student Virtual Participation and Instructional Type:
    Validations on student virtual participation and the coding of Instructional Type for sections are coming soon.

Data Collection Deadline Changes

  • PowerSchool State Reporting Versions:
    Remember to update PS State Reporting versions within two weeks of their release. ORDA performs maintenance on the Enrich Data Collection queries the second Friday of each month. This maintenance window is often when new elements that were distributed in the previous month’s State Reporting version update are added to the Enrich Data Collection. If your district has not updated PS State Reporting versions prior to this window, it’s likely your data submissions will fail.

SAS BI Portal Updates

  • Several new data reports are available on the SAS BI Portal:
    • Student/Teacher Ratio:
      This report explores course section sizes for your schools and identifies those outside of specified ranges.
    • District Contact List:
      The DSAG recommended we publish a report that pulls contact data from DEIM for certain roles at each district.
    • CERDEP reports (current and historical):
      These reports contain lists and aggregations of identified CERDEP students. Be sure your district’s students are funded! 
    • School Improvement Report:
      This report includes dead simple charts and graphs that explore disaggregations of School Report Card data. These should be useful for school and district administrators in planning support for different student populations.
